LeadBin is a product of Gone Fishing Labs LLC. This policy covers our public website, the LeadBin application, and related support and communications. It explains our current practices; individual features and provider connections may be available only to approved pilot workspaces.
Scope and roles
We handle information you give us directly and information a workspace adds to LeadBin. For account administration, billing, website use, and support, Gone Fishing Labs LLC decides how that information is used. For customer records entered into a workspace, the workspace owner generally decides what to collect, who may access it, and how long it is needed; LeadBin provides the service on that owner’s behalf.
If a company has entered your information as a contact, please start with that company for a request about its CRM records. You may also contact us and we will help route the request where appropriate.
Information we handle
- Accounts and workspaces: name, email address, sign-in credentials in protected form, membership, roles, invitations, settings, and account activity.
- Customer work: contacts, companies, opportunities, tasks, notes, support requests, proposals, quotes, contracts, invoices, tracked time, Teamwork messages, Calendar entries, uploaded or imported records, and other information users choose to add.
- Billing: plan, subscription and transaction identifiers, invoice and payment status, and limited billing descriptors. Stripe processes payment details; LeadBin does not display or store full payment-card numbers.
- Support and communications: messages you send us, requests submitted through LeadBin forms, and newsletter email/confirmation choices when you choose to subscribe.
- Technical information: browser and device details, IP-derived security and rate-limit data, timestamps, feature and error events, and service logs needed to operate and protect the site.
Some of this information may identify people who are not LeadBin account holders because a workspace member entered or imported their details.
How we use information
We use information to create accounts; authenticate users; provide workspace features and requested integrations; maintain backups and reliability; process subscriptions; investigate abuse, errors, and security events; respond to support requests; and comply with applicable obligations. We may use aggregated or de-identified operational information to understand and improve the service, without treating it as a substitute for customer permission to use identifiable workspace records.
Newsletter requests are separate from account and service notices. A newsletter signup is recorded as pending until the address is confirmed; you can unsubscribe from marketing messages. Essential account, security, and billing messages may still be sent when needed to operate the service.
Connected Google and Microsoft accounts
These connections are optional, per-user, and currently restricted to approved pilots. Connecting an account requires the provider’s consent flow. LeadBin requests read-only Gmail/Google Calendar or Microsoft 365 mail/calendar permissions, as applicable. It uses bounded message and event metadata—such as participants, subject or meeting title, date, and provider ID—to match activity to contacts in the selected workspace. It does not import email bodies or attachments through these connections, send mail, or create provider calendar events.
Access and refresh tokens are kept server-side in encrypted form. Workspace members with the appropriate access may see matched activity. A user can disconnect a provider in Settings; LeadBin then removes that connection’s stored token and imported activity from the selected workspace. Provider-side consent may also need to be revoked in your Google or Microsoft account. A separate connection to another workspace is not removed by disconnecting this one.
LeadBin’s use and transfer of information received from Google Workspace APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. Google data is not used for advertising or to train a general AI model.
Scout and AI-assisted features
Public-site Scout sends your question and limited recent chat context to OpenAI to generate a response. Do not enter confidential information in the public chat. Signed-in Scout can answer supported business questions using bounded workspace facts and prepare a draft. A separate, reviewed send from an eligible connected personal mailbox requires your confirmation; Scout does not silently send or change CRM records. AI responses can be incomplete or wrong, so review them before acting.
If you separately submit Scout's contact form, we collect the name, email, optional phone and company, message, and page path you provide. We place the request in LeadBin's internal workspace as a contact and follow-up task so our team can respond. Submitting the form does not send your chat transcript, book a meeting, or subscribe you to marketing email.
If you choose Scout's booking link, you leave LeadBin for Calendly. Calendly handles the meeting details you enter there under its own privacy notice; choosing the link does not submit your Scout conversation or contact form to LeadBin.
Connected Google activity is excluded from Scout by default. If you separately opt in and request a relationship summary or follow-up draft, LeadBin may send contact-matched email subjects and meeting titles with related CRM information to OpenAI for that requested response. You can turn off that optional use in Settings. We do not use connected Google data for advertising or general AI-model training. We configure our Scout requests not to be stored as provider response objects; provider handling remains subject to its applicable service terms.
Retention and deletion
We keep account and workspace information while it is needed to provide the service and for legitimate operational, security, accounting, or legal needs. Different records have different lifetimes; a request to delete an account does not necessarily delete every workspace record contributed while that account was a member. Workspace owners can use available export and record-management tools, and can request help with account or workspace deletion.
Disconnecting a Google or Microsoft account removes that selected workspace’s connection and imported activity as described above. Deletion from backups, audit trails, payment records, or a third-party service may follow a different process or may be limited by applicable requirements. Contact us for a request specific to your data; we will explain what can be removed.
Your choices and requests
You can update many account and workspace details in the app, control membership if your role permits it, disconnect an optional provider connection, and manage Scout’s optional connected-Google-data setting. You can unsubscribe from marketing email using the message link. For access, correction, export, or deletion requests that are not available in the app, email info@theleadbin.com. We may need to verify your identity and coordinate with the relevant workspace owner before changing customer records.
Depending on where you live, additional privacy rights may apply. We will review requests under applicable law and explain any limits or exceptions.
Security and transfers
We use role and workspace access controls, server-side token protection, and operational safeguards intended to protect the service. No online system is completely secure. You are responsible for protecting your login and for reporting suspected unauthorized use promptly.
Our providers may process information in locations outside your own jurisdiction. Where law requires particular safeguards for a transfer, we will address those requirements. Do not upload information your organization is not authorized to process with LeadBin.
Children and policy changes
LeadBin is a business service, not directed to children. If you believe a child has given us personal information through the public site, contact us so we can review it. We may update this policy as features or practices change; the date above identifies the version on this page. For material changes, we will provide notice appropriate to the change and applicable law.
